While compulsory for 50km runners, this race briefing is open to all runners and will be repeated at 6,30pm on Friday and again on Saturday morning before each race starts.

10km ~ 8.00 am

  • All races start from and finish at the Clarens Town Square.

  • Online entries will close on 18 August 2023 or earlier depending on ticket sales.. However, provided there are still entries available, late entries will be happily accepted at race registration - but please be aware that late joining fees may apply and you will not receive a finishers medal/prize.

  • As an Early Bird giveaway for our local Clarens residents, the first 3 locals to enter each of the 4 distances, will receive a free CVC membership. This membership is valid from 1 September 2023 to 31 August 2024 and allows a family of four to have free access to the Clarens Nature Reserve and its exquisite trails.

RUNNING FOR CHARITY

The Clarens Village Conservancy relies on member contributions and fundraising events for income, therefore while both placement and spot prizes will be given away at the prizegiving, we have chosen not to offer monetary prizes this year as we are aiming to raise as much as we can for the Conservancy.

We also know that many of you love a race medal, but some of you could do without another one - therefore we have decided to give you the choice - runners who enter online are welcome to request a finishers medal/prize at checkout or you can donate the race medal fee back to the Conservancy.

SUBSTITUTIONS, CANCELLATIONS & UPGRADING/DOWNGRADING

  • Race substitutions can be done up until the close of online entries but only within the same distance category.

  • Cancellations and refunds are possible but only up until the close of online entries.

  • Upgrading or downgrading your chosen race distance is possible but only up until the close of online entries. A price increase will apply for runners looking to upgrade their distance whereas a downgrade will be done free of charge, however, there is no refund/cash back option when downgrading.

  • Should you wish to substitute, cancel or upgrade/downgrade your entry - please contact Entry Ninja directly.

  • Rollovers to 2024 are only permissible in the event that the race is cancelled or postponed by the race organisers.

SUPER IMPORTANT INFO

  • PLEASE NOTE: While there will be water points along the route, due to the challenging terrain, a headlamp, a hydration pack, extra nutrition, a charged cellphone and a GPX device are compulsory for runners doing the 50km. Similarly, a hydration pack, extra nutrition and a charged cellphone are compulsory on the  35km route. This will be checked at the start line on the morning of the race. 21km runners are also strongly encouraged to take a hydration pack and extra nutrition with them however this is not a mandatory requirement.

  • The minimum age limit is 12 years for the 10km, 16 years for the 21km, 18 years for the 35km and 21 years for the 50km.

  • While walking is permitted on all race routes, we strongly recommend that only serious runners enter the 35km and the 50km routes due to the tough terrain and elevation gains. Serious walkers will be permitted on the 21km route - just please check that the cut-off times are realistic for you given the terrain and elevation gains.

  • Unfortunately, we do not allow dogs at this event.

  • Late entries will be accepted after online entries have closed (at Friday registration and on the morning of the run), however, there will be an increase in race fees that are not purchased online and late entrants will not receive a finishers medal/prize.

  • Entry fees do not include any race apparel.

  • Runners who would like a finishers medal/prize will have the opportunity to request one on checkout or donate this race fee to the Clarens Village Conservancy.

  • Runners must attend registration in person and proof of ID will be required.

  • All runners will need to download the FinishTime Passport App in order to register for the run - this can be downloaded from the Apple App Store or Google Play Store - see here for more details: https://finishtime.co.za/toolkit-passport/

  • Spot prizes will be drawn at random and only given to entrants who are present at prize-giving or still out on the course.

  • No monetary prizes will be available this year.

  • All entrants will be required to pin their race numbers to the front of their shirts, so it is visible throughout the run.

  • The minimum age limit is 12 years for the 10km, 16 years for the 21km, 18 years for the 35km and 21 years for the 50km.

  • All entrants participate at their own risk, and the race organisers and sponsors will not be responsible for any loss or injury incurred during or as a result of the race. The organisers and sponsors will also not be responsible for any property lost or damaged on the course or around the start/finish area.

  • The event will provide Medical Support for all runners. Should a runner require additional Medical Support over and above that provided by the Event, this will be for the Runner’s personal expense.

  • All medical / paramedic costs are for the entrant's own account. The organisers will not pay for these nor be responsible for the costs thereof.

  • All entrants will be personally required to sign an indemnity form through the FinishTime Passport App at registration. These may not be signed by a 3rd party.

  • While well-stocked Aid Stations will be provided along all the routes however we strongly recommend 21km runners run with a hydration pack and extra nutrition.

  • Please note that It is a mandatory requirement that 50km runners run with a hydration pack, extra nutrition, a charged cellphone and a GPX device; and 35km runners run with a hydration pack, a charged cellphone and extra nutrition  - this will be checked before the run starts, and you will not be able to participate unless you have all the necessary equipment with you.

  • There is a compulsory run briefing for all 50km runners on Friday 1 September at 6pm at Protea Hotel.

  • No seconding whatsoever is permitted, and you may be disqualified in this regard.

  • The race occurs in the Clarens Nature Reserve and on private property - therefore, no littering whatsoever will be tolerated. Rubbish Bins will be provided at the Aid Stations, and disposal of litter between the stations is explicitly not allowed. IF YOU LITTER, YOU WILL BE DISQUALIFIED.
